Seasonal Property Management: Preparing for Winter
Seasonal property management during the winter months can be quite the challenge! With the change in season comes snow, ice and freezing temperatures which unfortunately, increases the potential for property damage. Without sounding too ‘Bah Humbug’, health and safety needs to be followed even during the most wonderful time of the year, and a lot of work still needs to be done. For property managers and onsite maintenance teams, the winter months demand meticulous planning to ensure buildings, communal areas, and facilities are safe, functional, and ready for residents.
This week, we detail some of our seasonal property management processes that help to keep our residents safe, satisfied and comfortable over the winter months.
Pre-Planned Maintenance: A Winter Essential
If you’ve read our previous blogs, you’ll know that at POD, we are huge advocates for pre-planned maintenance (PPM). At this time of year, you really notice what a necessity it is, plus it ensures that our teams are completely in the know with their developments and can monitor the safety, functionality, and longevity of the property effectively. Cold temperatures, snow and ice can exacerbate structural vulnerabilities, damage essential systems, and create safety hazards such as slippery walkways or burst pipes. We proactively address maintenance needs, such as checking heating systems are operating as planned, clearing gutters, and even stocking de-icing supplies, like grit, as this helps mitigate risks and reduce the likelihood of costly emergency repairs further down the line.
Additionally, a well-maintained property works to enhance resident satisfaction by ensuring comfort and safety during harsh winter conditions, reflecting a commitment to proactive property care and reliability.
Ensuring Safety in Communal Areas
The winter conditions can transform communal areas into hazardous zones if not managed properly. At POD, many of our properties have open landscaped areas, which we need to give plenty of attention, even in the Autumn/Winter transition. This can include:
Snow and Ice Removal: We establish a schedule for any snow clearing, gritting pathways and parking areas. Salt and grit must be stocked in advance so we can respond quickly to snowfall.
Lighting: Shorter days mean less natural light, increasing the need for adequate illumination – this is usually in parking lots, stairwells, and walkways. Inspections regularly take place to ensure resident safety as the days draw in earlier.
Handrails and Steps: All communal handrails and steps should be regularly checked for stability to prevent accidents, especially in high-traffic areas.
Removing Foliage: With the likes of the recent storms, the last of the Autumn leaves have been plucked from the trees, meaning they end up scattered on the floor, or gathering in piles amongst other foliage like twigs, moss and other natural debris. Removing these not only ensures a more aesthetically pleasing outdoor area but mitigates slip and trip hazards in high traffic areas.
‘Winterizing’ Building Systems
In winter, the backbone of any property’s functionality lies in its core systems: heating, plumbing, and electrical. Preparing these systems for winter is a crucial part of seasonal property management, key to maintaining resident satisfaction and minimising costly emergency repairs.
HVAC System Checks: Heating, ventilation, and air conditioning system checks are fundamental and compulsory all year round. In the winter, communal heating systems are of high priority in terms of planned maintenance. Regular professional inspections and cleaning for communal boilers ensure a comfortable and warm living environment during the peak of cold weather for residents.
Backup Power Systems: In worst case scenarios, winter storms can often lead to power outages. Where installed, we ensure that generators are in full working order.
A Word on Health and Safety
