Summary Terms
Between [The Contracted Party] (The Client) and POD Group Services Limited t/a POD Management (The Manager)
The Manager will
Be honest, fair, open and transparent and provide a timely and professional service
Act with skill, care, diligence and without discrimination
Comply with all relevant legal requirements and relevant codes of practice
Avoid conflicts of interest
Maintain clear, accurate and up-to-date financial records
Hold appropriate Professional Indemnity Insurance
Ensure that any client money is held separately from other monies in designated trust accounts
Respond to any leaseholder enquiry within two working days (email/telephone) or five working days (post)
Arrange for the supply of any communal gas, water and electricity
Follow the terms in the lease
Arrange buildings and other insurance and deal with communal claims.
Enter into and manage maintenance contracts on behalf of the Client.
View, without the use of inspection equipment, the common parts of the Property to check condition and deal with any necessary repairs other than major repairs.
Prepare specifications and contracts for minor works and services such as cleaning, gardening, window cleaning and overseeing such works.
Organise periodic health and safety checks and ensuring appropriate risk assessments are in place.
Supervise Client site staff for the Property and where necessary arrange for all matters relating to their employment.
Wherever reasonable, monitor and ensure compliance of contractors with regards to H&S compliance and ensure they hold adequate insurance and certification for the works undertaken.
